How does the reimbursement process work in practice? Find out in this article.
More and more companies are switching to electric vehicles. They're quiet, economical, and eco-friendly. But a question arises: what do you do when you want to charge your company car at home but need reimbursement from your employer?
Fortunately, there are simple ways to account for these costs with your employer and avoid paying out of pocket for your company vehicle.
- The electricity contract at your home is in your name (or a family member's).
- You can document exactly how much energy you use for the company car. This way, your employer knows how much to reimburse, and they can also claim it as a tax-deductible business expense.
- You can prepare documentation in 2 ways.

1. Charger with Integrated Energy Meter
As the only ones on the market (at the time of writing), AmperePoint Q and P chargers have a built-in energy meter that counts every kWh from the first use. This makes it easy to read exactly how much electricity went into your car.
Chargers with energy meters:

Încărcător portabil P11 (16A, Tip 2, 11kW)
2. Energy Sub-meter
You can install an additional meter just for the socket/charger. This solution requires an electrician and will cost up to a few hundred PLN, but it provides complete transparency.
Excel (or a simple online calculator) will help you calculate the total cost you can submit to your company.
How to Document Costs?
The simplest way:
- Check the price per 1 kWh on your electricity bill.
- Take a photo of the meter/sub-meter after each charge (or once a month).
- Record the data in Excel.
This gives you clear proof for your employer:
- how much energy you used,
- how much you paid,
- what amount the company should reimburse you.
A spreadsheet is also helpful. Excel or a simple notebook is enough. Each month you record:
- the charging date,
- the amount of energy consumed (from the charger or meter),
- the price per 1 kWh (from your electricity bill).
TUYA App
Our Q series models connect wirelessly to the Tuya app, which enables real-time monitoring of charging sessions and also allows you to download a charging report for any given period.
The charging session report looks like this:
Why Keep a Charging Log?
- You protect yourself from having to personally cover electricity costs for a company car.
- You have clarity on how much vehicle operation costs.
- If HR or accounting has questions – you have complete documentation.
This type of accounting is transparent and accepted by accounting departments.
